What Should Digital Transformation Mean for Rwandan Schools?

Picture a busy school morning. A parent is waiting at the office to confirm a fee payment. The person who usually handles it is away. Someone opens a spreadsheet. Someone else checks a receipt book. The parent is still waiting. Now picture that happening while teachers need class lists and the phone keeps ringing. If this sounds familiar, you've already found a good reason to improve how information moves around your school. Start there. Digital transformation should help your team answer everyday questions, complete routine tasks, and get on with the school day.

Now picture that happening while teachers need class lists and the phone keeps ringing.

If this sounds familiar, you've already found a good reason to improve how information moves around your school. Start there.

Digital transformation should help your team answer everyday questions, complete routine tasks, and get on with the school day.

Where the school day gets harder than it needs to be

Small delays add up. A missing record might take a few minutes to find. But when several people stop what they're doing to look for it, the disruption spreads.

Information scattered across different places. A student's details sit in one file, fee records in another, and updated parent contacts on someone's phone. Staff have to piece things together before they can give a clear answer.

The same work done twice. A teacher writes down information, an administrator types it into a spreadsheet, and someone copies it into a report. This extra handover also raises risks of information being lost or degraded.

One person holding all the answers. If a routine task has to wait until a particular colleague returns, your team needs a clearer process and access to the right records. Take an example with parents: when someone has already paid, being asked to come back later for confirmation is frustrating.

What better should look like

For the office, it might mean finding a student's details without opening several files. For a parent, it might mean getting a clear explanation of a fee balance. For a teacher, it might mean spending less time copying information and more time preparing a lesson.

Classroom tools matter too. A digital lesson resource should help a teacher explain something clearly or give students a useful way to practise. The teacher still decides what works for the class.

Rwanda's Education Sector Strategic Plan 2024–2029 includes digital learning, infrastructure, teacher development, and inclusion among its priorities. At school level, the practical question is simple: which change would make the biggest difference to your day?

Choose one task. Agree on who enters the information, who checks it, and who needs access. Then see whether the new approach actually helps.

For example, walk through a fee enquiry from the parent's first question to the final answer. Check where the bill is found, how a recorded payment is confirmed, and who handles a mismatch. That gives you a concrete process to improve and a useful way to assess any system.

Give your team a fair chance to use it

A quick demonstration is a start. Staff also need time to practise real tasks, make mistakes safely, and ask questions. Decide who they can turn to when they get stuck.

REB's ICT in Education work brings together teacher training, connectivity, devices, and digital content. Your school's plan should consider those pieces together too.

Check the basics before you commit: the internet connection, available devices, electricity, and the full cost of training and support. Agree on what staff should do when the connection drops. Keep a way to reach parents who can't use an online service.

And take care of the records. Use individual accounts, give people appropriate access, and make it clear how mistakes get corrected. Ask any provider how backups work and how you can retrieve your information if you change systems.

How Washuri helps with the everyday work

At Kiin Innovation, we build Washuri, school management software with tools for student profiles and school fee records. These are tasks where your team needs information they can find, check, and keep up to date.

Student records. Washuri lets authorised staff create, find, and update student profiles. When a detail changes, there's a place to maintain that record.

School fees. Washuri supports fee bills and recorded payments, with bill details showing the amount due. That gives staff information to work from when a parent asks about a balance.

The point is practical: help your team handle the records behind the school day. When you look at Washuri, bring a task your staff actually deal with and ask to walk through it. That will tell you more about the fit than a feature list on its own.

Is your current setup helping your school?

Try these questions with your team:

  • Can authorised staff find a student record without asking someone else to search for it?

  • Can the office explain a fee balance from the records available?

  • Are staff entering the same information more than once?

  • Does everyone know where to get help when something goes wrong?

If the answers reveal delays or confusion, choose one problem to work on first. After the change, ask the people doing the work whether it's easier. Check the time it takes, the mistakes that still happen, and the questions parents keep asking.

Let's start with what your school needs

You don't need every answer before starting the conversation. Tell us what's taking too long, which records are hard to manage, and where your team needs support. Bring your everyday challenges. Let's look at what we could do together.
